Look Ahead is committed to protecting the privacy of your information.

Transparency

We take compliance with data protection laws very seriously. We will only collect information about you that we need and use it for the purposes that we’ve outlined in our Privacy Policy. We will protect your information so that only those who need to can see it.

Why we need your information

We need your personal data – that is information that relates to you – to meet our contractual obligations to you regarding your accommodation, care or support.

There are six lawful bases for processing personal data and the ones we rely on vary depending on our purpose in using your information. We explain our lawful basis for processing your personal data in our Privacy Policy, but mostly rely on our contract with you to provide accommodation, care or support services. We may need to share relevant information about you with relevant partner organisations.

In some situations, we will seek your consent to obtain, use or share your personal data. We will explain this to you and provide you with a consent form to sign if you agree. In an emergency we may share your personal data without your consent to protect your life or somebody else’s life.

The law allows us to process your personal data if it is in our legitimate interests, which includes ensuring that:

  • our services meet the needs of our customers
  • we make use of our resources for our customers and understand how we are performing.
  • we provide a safe service
  • we understand our customer’s experiences through feedback and surveys.

Our commitment to you

We will make sure that we:

  • Keep you informed about how we are using your information
  • Use your information for specific, legitimate purposes
  • Only collect and use information we need about you
  • Capture your information accurately and update it where necessary
  • Keep it for no longer than we need to
  • Store and handle your information securely; and only allow access to those who need to see it.

Your data protection rights

You have several data protection rights. If you contact us about any of them, we expect to respond within one month. In certain circumstances we can extend this timeframe by a further two months. If we refuse your request, we will do this within the first month and explain why.

Your rights are:

·       Right of access to your personal data

·       Right to correct or complete inaccurate data

·       Right to erasure (to be forgotten)

·       Right to restrict processing

·       Right to data portability – to transfer your data to another organisation

·       Right to object to processing

·       Rights in relation to automated decision making and profiling

The National Opt Out

In 2018, the government introduced a ‘national opt-out policy’ to enable NHS patients and those in CQC registered adult care services to choose whether their confidential patient information is used for anything beyond their individual care and treatment, for example for research and planning purposes.

Some of Look Ahead’s services are registered with the CQC but Look Ahead does not currently use any data for planning or research purposes covered by the national data opt-out. We review all the confidential patient information we process on an annual basis to check whether it is used for research and planning purposes. If it is, then individuals can decide to stop their information being shared for this purpose. You can find out more information at https://www.nhs.uk/your-nhs-data-matters/.

Data Protection Complaints

If you believe that we have failed to comply with data protection legislation due when handling your personal data, (or the personal data of someone you're acting on behalf of), you can complain to us. Once we receive your complaint, we will acknowledge it within 30 days. The 30 days starts the day after we received your complaint. We may need to confirm your identity or clarify the issues with you. We will then investigate your complaint and provide the outcome without undue delay. If the response is likely to take longer than the 30 days, we will explain why and keep you updated on the progress.
